Fleet Copier FAQ
Once we choose a copier vendor, the vendor will be required to have service technicians on campus at all times with a guaranteed response time.
All of the copiers will be from the same manufacture, but you can choose from different models based on volume and individual department needs.
The final process has not been determined, but there will be a central number for all machines in all departments. The selected vendor will assign to the University factory-trained technicians for the technical support of all copiers and multifunction devices.
With all the copiers networked, the number of copies you make will be gathered electronically each month and your index billed. There will be online reports detailing your copier usage.
Yes, initial and ongoing training will be provided by the vendor as part of the agreement.
Each department will be able to choose the machine and accessories that meet their needs. Consultations to help you determine the best copier for your needs are available upon request.
The new copiers will use about 35% less power than older models currently used on campus.
Your department will be paying equal to or less than what you're currently paying.
You will be able to choose any model the vendor supplies, and be able to easily upgrade when the need arises.
Yes they will. The new copier fleet will incorporate the latest in technology including the ability to scan, fax, and yes...copy.
Yes, if it has been purchased prior to December 31, 2013. While it is in the best interest of the University to remove the higher cost, older technology from the existing fleet, you will be still able to keep prior purchased equipment. If replacements are needed, all new equipment acquisitions will be from the university wide program.
There are two options:
- Owned copiers being replaced, which are no longer needed by the department will be disposed of by the selected vendor.
- Departments may decide to donate their old copiers.
In any case, please refer to and adhere to University asset disposal policy when dispositioning these machines.
The installation of your new copier/MFD should take less than 1/2 hour.
